WHAT WE DO AS YOUR OWNERS CORPORATION MANAGER
Our typical services for the owners corporation may include the following where required (Some listed services may not apply to your owners corporation)
- Arrange, administer, and renew all owners corporation insurance policies, obtain quotations to guarantee the most effective cover and cost-effective premiums. Claims are submitted on behalf of the owners corporation promptly and repairs effected as a matter of priority.
- Issue levy notices and record owners corporation fees.
- Monitor levy arrears and liaise with owners to recover payments.
- Bank owners corporation contribution fees and levies into secure and designated bank accounts.
- Record, check and pay owners corporation accounts.
- Safely store ALL records and accounts for a minimum of 7 years.
- Maintain strata roll, levy register, trust account, key register/ access pass system, and common seal.
- Accurately maintain financial records and prepare financial reports for members to be presented at the Annual General Meeting at no extra cost.
- Convening, notifying, and attending Special General meetings or any other meetings to assist the committee or trades/suppliers.*
- Provide easy access to ALL stored records and accounts.
- Regularly communicate with the caretaker to ensure all duties within their job description are being carried out to the required standard.
- Arrange quotations and coordinate tradespeople to carry out necessary maintenance and repairs to common property as directed by the owners corporation.
- Engage tradespeople or specialists as required.
- Check all tradespeople and specialists used for correct licensing and insurances.
- Monitor and maintain all tradespeople on the preferred trades list.
- Provide access to 24 hr emergency service in the event of situations which require immediate attention.
- Organise & maintain essential services reporting, Fire Safety Regulations & checking requirements as per legislation.
- Handling building defects.*
- Implementation & monitoring of the maintenance fund.
- Ensure the scheme complies with all the WH&S regulations.
- Monitor, evaluate and implement any changes to the strata management legislation.
- Attend to ‘harmony’ problems (i.e. disputes) within the owners corporation*
- Liaise with the appropriate authorities (e.g. VCAT) to resolve ongoing disputes.*
- Apply for an ABN/TFN and registration for GST – (if required).
- Ensure the owners corporation complies with current GST legislation (if applicable).
- Assist auditors and tax agents with the owners corporation accounts where required.
- Maintain all GST related accounting procedures and submit Business Activity Statements where required.
- Call, attend and chair, if required, all Annual General Meetings, minute such meetings and distribute all documentation and minutes to all members promptly.
- Prepare Owners Corporation Certificates.
- Prepare and forward all correspondence, notices, etc. as directed by the owners corporation.
- Provide advice to members and the committee on matters relating to the owners corporation and the statutory Acts and Regulations it is governed by.
- Advise on other matters involving the Victorian Owners Corporation Act 2006.
- Advise on other matters involving the Victorian Owners Corporation regulations 2007 Amended.
- Visit the property and act to rectify any issues.
- Work closely with members/committees to ensure owners corporations are maintained at the highest standards.
